LOG FILES

The Menopause Health Coach follows a standard procedure of using log files. These files log visitors when they visit websites. All hosting companies do this and a part of hosting services' analytics. The information collected by log files include internet protocol (IP) addresses, browser type, Internet Service Provider (ISP), date and time stamp, referring/exit pages and possibly the number of clicks. These are not linked to any information that is personally identifiable. The purpose of the information is for analysing trends, administering the site, tracking users' movement on the website and gathering demographic information.

THIRD-PARTY EMAIL SERVICE PROVIDER (DATA PROCESSOR)

The Menopause Health Coach uses Mailchimp (operated by Intuit Inc.) to administer and send our email newsletters. When you subscribe, your name and email address will be shared with Mailchimp, who processes this personal data on our behalf as a data processor under GDPR principles. Mailchimp is certified under the relevant data privacy frameworks to enable lawful transfer of personal data outside the UK/EEA and implements technical and organisational safeguards to protect your data. Mailchimp uses certified data-transfer safeguards (e.g., UK Extension to the EU-US Data Privacy Framework or Standard Contractual Clauses). The Menopause Health Coach retains newsletter subscription data for as long as you remain subscribed or as necessary to comply with legal obligations.

The Menopause Health Coach uses Acuity Scheduling to manage bookings, session schedules, and client information. By booking a session, you consent to your personal data - including name, email address and appointment details - being collected, processed and stored by Acuity. Acuity is a third-party data processor that operates under GDPR-compliant policies and implements appropriate safeguards for data security. When Acuity Scheduling processes data outside the UK/EEA, we ensure that appropriate legal safeguards (such as Standard Contractual Clauses or equivalent frameworks) are in place to protect your personal data.

PAYMENTS AND PAYMENT PROCESSING

We use trusted third-party payment processors to securely handle payments for coaching services. These include Stripe and PayPal.

When you make a payment, your personal and payment information (such as your name, email address, billing address, and payment details) is processed directly by these providers. The Menopause Health Coach does not store or have access to your full card or bank details.

Stripe and PayPal process your data as independent data controllers in accordance with their own privacy policies and security standards. Both providers use encryption and comply with international data protection regulations, including UK GDPR safeguards where applicable.

ViDEO CONFERENCING AND COMMUNICATION PLATFORMS (DATA PROCESSORS)

The Menopause Health Coach delivers coaching sessions primarily via secure video conferencing platforms such as Google Meet. In certain circumstances, alternative platforms (for example Zoom, WhatsApp, or telephone) may be used where necessary for service delivery or at the Client’s request.

When participating in virtual sessions or communications, your name, email address, contact details and session participation information may be processed through these platforms for the purpose of providing coaching services.

These providers act as independent data controllers or data processors and apply their own privacy policies and security safeguards. The Menopause Health Coach shares only the minimum information necessary to deliver services and does not record sessions unless explicitly agreed in advance.
